Fitness and Gym CRM
A member signals for weeks before leaving the gym; they come less often and miss classes. When that signal stays in the turnstile log and never reaches anyone, the loss is only noticed on the renewal date.
The membership end date and the last entry date are fields on the same member record; a member who comes less often drops into a list at the threshold, and the renewal task opens before the date.
- Keep the membership end date in a field and tie reminder and loyalty offer tasks to it at 60, 30 and 15 days out
- Send a motivational message to a member who has not come in for two weeks and a special offer to one who has been away a month
- Suggest a PT package and supplement campaign based on the member's fitness goal
- Track the campaign you define for members who bring a friend, together with the referral chain
- Have the whole team reply from a single WhatsApp number, with conversations assigned by the rule you define
| Membership Renewal Tracking | The membership end date is a field; the 60-30-15 day steps are opened as tasks tied to that date, and the loyalty offer is linked to the same record. |
|---|---|
| Early Intervention on Absence | The last entry date is a field on the member card; those who pass the two-week and one-month thresholds drop into separate lists, and the message goes to those lists. |
| PT and Supplement Sales | The fitness goal is a field on the member record; suitable packages are filtered by that field and the offer is opened from the member's card. |
| Bring a Friend Campaign | The new member's source field points to the member who brought them; the referral chain is followed through that link and the campaign reward is recorded on the record. |
| Group Class Capacity Record | Every group class session is its own record; the instructor, the time and the capacity sit in fields, the member's booking is linked to that record, and a member who does not turn up is marked on the same class record. |
In a gym the revenue breaks on a single date: the day the membership ends. Until that day nobody pays attention, and by the time it arrives the member has long since made up their mind. Yet the sign of that decision shows at the turnstile months earlier — a member who has gone from three visits a week to one has not given up yet, but is about to.
In Rapitek CRM the last entry date is a field on the member record; because that field is updated by importing the turnstile report or by hand at reception, coming less often stops being a line in a report and drops into the task list, and who is to be called back with which offer is known in advance. Through the same record a member whose goal is losing weight and one who wants to build muscle enter separate flows, so a single bulk message does not go out to everyone.
