Renovation CRM
When what was discussed at the site survey, the quote given and the work actually done on site are kept in three separate places, which extra job was approved becomes open to argument. And the tradesmen's schedule is rebuilt by phone every morning.
The survey note and photo are attachments to the quote, and every revision is kept with its own date. Budget and actual cost are lines on the same project record; the gap shows during the work.
- Attach the site survey note and the photo to the quote, and write every revision and approval step to the record
- Keep a material list per project and compare the budgeted cost with the actual cost side by side
- See which tradesman is on which project and on which day in a single schedule
- Follow the stage, the photo diary and the handover date of every project
- Send progress photos and status updates to the customer over WhatsApp
| Project Quote Management | The site survey note and photo are attachments to the quote; every revision is kept with its own date, and the approval is written to the record as a stage change. |
|---|---|
| Material and Cost Tracking | The budget and the actual cost are line items on the project; the difference appears on the project card as the total of those lines. |
| Tradesman and Team Coordination | Jobs are tasks assigned to a person; which tradesman is where on which day is read from the calendar and the task list. |
| Project Progress Tracking | The stage, the handover date and the photo diary sit on the project record; progress is followed from the same card without keeping a separate file. |
| Snagging List at Handover | Every item found missing at the handover of the keys is a separate task; the person responsible and the closing date sit on the task, and the project file does not count as complete until all of these tasks are closed. |
In renovation the gap between the quote and the invoice comes from the small decisions taken one by one while the work is running: the tiles are changed, one extra wall is opened up, the tradesman buys the missing material himself. When these are not written onto the quote, the real profit on the project can only be calculated after the keys have been handed over.
Rapitek CRM keeps a single project file from the site survey to the handover; because the material list sits together with the supplier prices, a deviation from the budget is seen while the work is still going on. All the projects running at the same time are lined up on a single panel by their priority and their team assignments.
