Tutoring Centers & Private Lessons CRM
At a tutoring center, which topic a student is stuck on stays in the teacher's notebook; the parent only finds out when the mock exam result or the report card arrives. Enrolment losses happen in that silent gap.
The curriculum tree is marked up under the student record; topics solved and topics struggled with build up there. The target exam date is a field and the mock plan ties to it.
- Mark on each subject's curriculum tree the topics the student has solved and the topics they struggle with, and follow their progress on a chart
- Tie the countdown, the mock exam calendar and the topic completion plan to the student card according to the LGS, TYT or AYT target
- Set a rule for when the weekly or monthly progress report goes to the parent by WhatsApp or email; let the send be logged on the record
- Open a parent contact task for a student who misses two lessons, and make contact before the term is over
- Compare student success rates by teacher and see how effective the topic teaching is
| Topic-Level Progress Tracking | The curriculum tree is a structure that can be marked up under the student record; the topics solved and the topics struggled with build up there, and the progress chart comes out of those marks. |
|---|---|
| Exam Calendar and Countdown | The target exam and its date are fields on the student record; the mock exam calendar and the topic completion plan are opened as tasks tied to that date. |
| Parent Reporting | The report is produced from the data on the student card; it is sent to the parent by WhatsApp or email, and the send leaves a trace on the record. |
| Absence Early Warning | Absence is marked on the lesson record; the number of consecutive lessons missed appears on the list and a parent contact task is opened. The threshold is defined at setup. |
| Teacher Performance Tracking | The lesson record carries a teacher field; student results are grouped through that field and compared in a report broken down by teacher. |
| Referral and Results Tracking | The result information sits on the student card; asking a satisfied parent for a referral is a task tied to that record, and who was asked and when is tracked. |
| One-to-One Lesson Hour Record | In a private lesson, every hour the teacher and the student meet is a lesson line tied to the student record; the duration, the topic covered and the fee sit in fields, and the end-of-month teacher payment and the parent invoice come out of those same lines. |
A mock exam result on its own does not tell you what is missing. The net score drops, but if which topic caused the drop is not tied to somewhere written down, the revision plan is built on guesswork and the same gap comes back at you in the next mock. The real job at a tutoring center is to make that link: keeping the line between the question answered wrongly and the topic in the curriculum alive.
Rapitek CRM ties the mock exam mistake to the topic in the curriculum tree; the student's study plan for the following week is reordered accordingly. When the exam period ends, the successful student's story and the referral asked of a satisfied parent are a continuation of the same record, so you do not need to keep a separate list for the new term's enrolments.
