Instagram grew your business. Now it's limiting it.
The ads are on Instagram, the DMs are on Instagram, the comments are on Instagram. Who the customer is, where they came from, what was said — all of it lives inside one app you can't look into from outside. An Instagram CRM integration breaks that dependency.
Being stuck on one channel
A great many businesses live off Instagram today: the ads run there, the customer writes in the DMs, the sale closes there. It works — until someone asks:
- How many enquiries came in this month, and how many turned into sales?
- Who was the person who asked about pricing three months ago, and what did we discuss?
- What happens if the colleague who runs social media leaves?
- If we advertised somewhere other than Instagram, how would we follow up the people who came in?
All four have the same answer: Instagram is a shop window, not a system of record. It keeps no customer history, produces no reports, and you cannot search who said what and when.
Businesses aren't stuck on Instagram by choice — they're stuck for lack of a tool. They don't consider selling anywhere else because they have nowhere to follow up the people who would arrive. The moment the customer relationship lands in the company's records, that dependency ends.
What you gain by putting Instagram on the record
Choosing a channel becomes a choice
The moment someone from Instagram lands in a lead record with their source logged, you can compare that against an ad you ran somewhere else. Until you can measure it, Instagram isn't a choice — it's the only option.
The month-end question is answered in a report
“How many enquiries came in this month, and how many turned into sales” is no longer answered by scrolling the app; the record is in the CRM, so it is read off the pipeline report.
Setup is done by the team that builds the product
The Instagram connection, the comment flow and how the lead source is logged are defined together during setup. No separate consulting project sits in between, and you don't need to hire a CRM administrator.
You published a post. Here's what happens next.
-
1
Posts and comments land in the system
Your posts and the comments underneath them are logged in the CRM. Who wrote what is on one screen — nobody has to open the app and scroll. We have verified this flow end to end in our own environment; it has not yet been measured in a customer deployment.
-
2
A comment can be answered publicly
Reply publicly and close the matter there — comment management is verified end to end in our own environment, not yet measured in a customer deployment. A private reply is not available today, because it moves the person into a DM.
-
3
The person attaches to a customer record
The person who engaged in the comments becomes a lead record with Instagram logged as its source. At month end, “how many customers did Instagram bring” becomes a report.
-
4
The history stays with the company
Comment and customer history lives in the CRM. Even when the person running social media changes, the record stays with the business and the next person picks it up by reading it.
What can you actually do?
Instagram DMs — not available today
Instagram direct messages are not available today; Instagram messages do not land in the team's shared inbox, and no DM conversation is assigned or handed over.
Comment management
Public reply, hide and delete on post comments — from inside the CRM. Comment management is in place and verified end to end in our own environment; it has not yet been measured in a customer deployment. Private reply is not available today, because it moves the person into a DM.
Attached to the customer record
The person who comments is created as a lead with Instagram logged as their source. Pipeline, quotes and tasks all run on that same record.
The record stays intact
Comment history is kept as the company's record and survives a change in whoever manages the social account.
One inbox for two channels — not today
Because Instagram direct messages are not available today, the two channels do not meet in one inbox.
Run it with your own AI
Your CRM is open over MCP: connect your own Claude account to summarise conversations or draft replies. Access is capped by that user's permissions.
What Instagram can't do — know this before you buy
Where things stand today: Instagram direct messages are not available today.
Instagram is not WhatsApp. The limits Meta places on Instagram are not our product decisions, but they bind you. The most important one:
The 24-hour window. After a customer writes to you, you can reply within 24 hours. If a real human is answering, that extends to 7 days. Once the window closes there is nothing you can do — you have to wait for the customer to write again.
There are no approved template messages. On WhatsApp you can re-open contact with an approved template when the window closes; on Instagram no such concept exists. There is no escape hatch.
Beyond that, Instagram does not support: message reactions, button and list menus, sending a location, sending a contact card, forwarding a message, editing or deleting a sent message, group conversations, or voice notes. These are recorded in the product and are never offered to you in the interface — you won't click something and get an error.
Meta's limit on private replies: a comment can receive a private reply only once, and only within 7 days of the comment. Private reply is not available today, because it moves the person into a DM; this limit will apply once the feature is switched on.
The real differences between WhatsApp and Instagram
| Area | ||
|---|---|---|
| Reply window | 24 hours; contact can be re-opened with an approved template | 24 hours; 7 days if a real human replies |
| When the window closes | You can send an approved template message | You can only wait for the customer to write — there is no other way |
| Bulk campaigns | On the Cloud API, with approved templates to consented lists | Not available |
| Post comments | Not applicable | Reply, hide and delete are supported — verified end to end in our own environment, not yet measured in a customer deployment; private reply is not available today, because it moves the person into a DM |
| Connection method | Meta Cloud API or QR pairing (QR is not the official API) | The official Instagram Graph API — the only route |
| Account requirement | A business number | A professional account + a connected Facebook Page + Page admin rights |
| Voice notes | Supported | Not supported |
| Button and list menus | Available on the Cloud API | Not supported |
Three conditions — and what we do behind them
-
1
Your Instagram account must be professional
A Business or Creator account. A personal account cannot be connected — that is Meta's rule. Converting takes a few taps in the Instagram app.
-
2
It must be connected to a Facebook Page
Your Instagram account has to be linked to a Facebook Page. The Page doesn't have to be actively used, but the link must exist.
-
3
Whoever connects it must be a Page admin
The account granting permission must be an administrator of that Facebook Page. If you manage several Pages, you choose which one to connect — the system doesn't guess and take “the first one”.
-
4
We handle the rest during setup
Permissions and webhook subscriptions are established automatically in the connection flow; the administrator doesn't need to know anything technical.
Plan prices are published; scope comes out of discovery
The scope of the Instagram connection, and any cost for it, are worked out in the discovery call and shared in writing. Plan prices and separately priced items are published on one page.
Three plans, a scope table and separately priced items.
