Air Conditioning and Boiler Service CRM
In air conditioning and boiler service the job belongs to the device, not to the address; the homeowner changes, the boiler stays where it is. When the service history sits in the technician's notebook, what was done to the device before is discovered from scratch at the second fault.
Air conditioners and boilers are each a record with their serial number; brand, model and warranty expiry are their fields, and every service done accumulates under the same record.
- Keep every device in its own record with brand, model, serial number and warranty expiry, and accumulate the service history beneath it
- Distribute incoming fault requests to technicians with the queue and the assignment rules defined during setup, and drop the day's job list onto the field team's phones
- Have the service form signed on the spot from the signature screen in the mobile app, and write the spare part used and the location verification of the visit onto the record
- Draw up a renewal list from the end dates of annual maintenance contracts and send the reminder by SMS and WhatsApp
| Device Record | Air conditioners and boilers are each a record; brand, model, serial number and warranty expiry are in fields, and services accumulate under that record. |
|---|---|
| Request Distribution | A fault report is a request record; the queue and the assignment rules defined during setup drop it to a technician, and jobs that have not been closed stay on a single list. |
| Service Appointment | An appointment is a task; the technician, the address and the time sit in fields; when the job is done the customer signs the service form on the signature screen in the mobile app, the technician's location is verified, and the spare part fitted is written onto the same task. |
| Device Maintenance Agreement | The agreement is a record attached to the device record; the maintenance interval, the parts left out of scope and the end date are in its fields; devices whose end date is approaching collect in the renewal list. |
In this business two weeks of the year determine the whole year: on the first hot day air conditioning requests and on the first cold day boiler requests arrive all at once, and the number of technicians does not change. When requests are noted on paper and handed out, it is not the nearest team but the person who got through last who moves to the front. If the technician goes out to site and finds the part is not with them, the job is left to a second visit, and the cost of that visit is visible nowhere.
In Rapitek CRM the device is a separate record: brand, model, serial number, installation date and warranty expiry sit there, and every service done accumulates under that record. The technician opens the job from their phone and writes the spare part used and the work done on the spot; the customer signs the service form on the signature screen in the mobile app and the location of the visit is verified. Because the maintenance contract's end date is on the device record, the contracts to be renewed come out of a list rather than being left to anyone's memory.
The scope of the plans and the separately priced items are written on the pricing page.
