Auto Repair CRM
When which part of a given vehicle was changed and when stays in the mechanic's memory, the diagnosis starts from scratch the second time the customer comes in. And nobody reminds them that the periodic service is due.
A vehicle is a record opened by its number plate; service history, mileage and parts lines accumulate on the same card. Vehicles whose interval is due drop onto a list from those fields.
- Open the vehicle from its number plate; keep past work, the last mileage and service notes on the same card
- Turn an appointment that comes in online into a work order and see from a single screen which mechanic it is assigned to
- Track the spare parts issue, the order and the cost attached to the work order before the job closes
- Drop the vehicles whose interval is due for an oil change, an inspection or a periodic service onto a list; tie the SMS reminder going out to that list to a rule
- Run the correspondence with vehicle owners as a team from a single WhatsApp number and get off personal phones
| Vehicle and Customer Cards | A vehicle is a record opened by its number plate and attached to the customer; service history, mileage and notes accumulate under the card. |
|---|---|
| Appointment and Work Order | The appointment is turned into a work order on the same record; the mechanic assignment is in a field, and the day's jobs appear in the calendar and the list. |
| Spare Parts Management | Parts lines sit under the work order; stock issue and cost are calculated from those lines, and a missing part is visible before the job closes. |
| Service Reminders | The last service date and the mileage are fields on the vehicle record; the ones whose interval is due drop onto a list, and the reminder is tied to that condition. |
| Courtesy Car Assignment Record | The courtesy car given for the duration of the service is an assignment record attached to the work order; the mileage at handover, the fuel and the expected return date sit in fields, and the ones not returned stay on the open assignment list. |
In an auto repair shop the work moves forward not when the vehicle goes up on the lift but when the part is on the shelf. If the part is not in stock the work order stays open, the lift looks occupied, and the second appointment that could have been taken that day is turned away. That loss is one whose cause is not understood even when revenue comes out low at the end of the month.
Because the work order and the parts movement sit on the same record in Rapitek CRM, jobs held up waiting for a part appear as a separate list. Since the mileage is written onto the vehicle card, the next service reminder comes out of that vehicle's own history rather than from a general calendar.
