Free CRM: What Free Plans Cover, Where They Stop and What to Check

Free CRM software comes in three forms: a permanent free plan from a vendor, an open-source CRM that you host yourself, and a free trial of a paid product. Each can be the right choice, depending on team size, how much you need to connect to other tools, and who will maintain the system. Rapitek CRM is not a free CRM.

It is a paid product with a 7-day free trial that starts with a 30-minute intro call and needs no credit card.

This guide explains the three kinds of "free", where free plans usually stop, what to check before you commit to any of them, and when a free trial is the better way to evaluate.

What are the three kinds of free CRM?

KindWhat "free" meansWho runs itThe usual catch
Free plan (freemium)The vendor gives a limited version at no charge, with no end dateThe vendor hosts itLimits on users, records or features, designed to lead you to a paid plan
Open-source CRMThe software is free to download and modify (SuiteCRM is one example)You or your IT partner host, secure, back up and update itThe software costs nothing; the time and hosting do
Free trialFull or near-full access to a paid product for a limited timeThe vendor hosts itIt ends; you need to decide before then

All three are legitimate. They answer different questions: a free plan asks "can we start without spending?", open source asks "can we control it ourselves?", and a trial asks "is this the right product?".

Where do free CRM plans usually stop?

Limits differ by vendor and change often, so read the vendor's current plan page and keep the date you checked. These are the places teams most often hit a ceiling:

  • Users. Free plans tend to cap the number of users. When the team grows by one person, the plan may no longer fit.
  • Records and storage. Contacts, deals, files and attachments can have ceilings. Find out what happens when you reach them: do you stop adding records, or pay?
  • Automation and reporting. Workflow rules, automated follow-ups, custom reports and dashboards are often reserved for paid plans.
  • Customization. Custom fields, objects, stages and page layouts may be limited.
  • Integrations and API. Connections to accounting, ERP, e-commerce or messaging tools, and API access, may be restricted.
  • Messaging channels. WhatsApp, Instagram or SMS may not be included, or may need a paid add-on.
  • Support. Free plans often rely on help articles and forums rather than a person you can ask.
  • Branding. Some plans put the vendor's branding on forms, emails or pages.
  • Export and ownership. Check whether you can export all your data in a usable format, because that is your exit if the plan stops fitting.
  • The next step. The price and the scope of the first paid plan matter as much as the free plan.

None of these is a reason to avoid a free plan. They are the questions to ask so the surprise comes before your data lives in the tool, not after.

Is a free CRM enough for your team?

A free plan or a spreadsheet is often enough when:

  • one or two people handle the customers;
  • the customer list is short, and one channel brings most of the work;
  • you do not need to connect accounting, ERP or messaging tools;
  • you mainly want to learn what a CRM does.

It is time to look at a paid CRM when:

  • several people touch the same customers and need to see the same history;
  • messages arrive on WhatsApp, Instagram, email and phone, and the history sits on personal phones;
  • quotes, follow-ups and reports are done by hand next to the CRM;
  • you need to connect accounting, ERP or payment systems;
  • you spend more time working around the free plan's limits than selling.

If your customer list is still in a spreadsheet, moving from Excel to a CRM is a separate, smaller decision worth making first.

What is the real cost of a free CRM?

The licence is free, but the work is not. Count these before you decide:

  • Setup time. Someone must design fields and stages, import data and train the team. With a free plan or open source, that someone is you.
  • Migration later. Moving data to another CRM takes effort. The more you build in a tool, the more it costs to leave.
  • Workarounds. Every missing feature becomes a manual step: a spreadsheet next to the CRM, a copy-paste from chat.
  • Hosting and maintenance (open source). Servers, security updates, backups and fixes need a person.
  • Missed follow-ups. When a tool is hard to use, records go stale, and a stale CRM costs sales.

This is the same trade-off as with any software: you pay with money or you pay with time. The right choice is the one that costs least for your team.

How do you evaluate a free plan before committing?

Use this checklist, and write down the answers with the date:

  1. How many users and records are included, and what happens at the limit?
  2. Can you export all your data, including conversations and files?
  3. Is the API available on the free plan?
  4. Which channels are included (email, WhatsApp, Instagram, SMS, web forms)?
  5. Where is the data hosted, and what do the vendor's data protection terms say? For Turkish businesses, check how KVKK is handled; for European customers, GDPR.
  6. What does the first paid plan include, and what does it cost?
  7. Who answers when something breaks?
  8. Who will do the setup, and how many hours will it take?

Free trial vs free plan: what is the difference?

A free plan limits what you can use, with no end date. A free trial lets you use more of the product, but only for a limited time. A plan helps you start without spending. A trial helps you decide whether the paid product fits.

If you are comparing paid CRMs, a trial on your own data and your own process tells you more than a feature list. The CRM chooser and the guide on how to choose a CRM can help you narrow the list first.

Where does Rapitek CRM fit?

Rapitek CRM is a paid CRM for teams where several people handle the same customers, often through WhatsApp or Instagram, and who want the setup done for them. It is not free, and we do not offer a permanent free plan.

What you can do for free is try it. Here is how the trial works:

  1. A 30-minute intro call. We learn what you need and show the product on your own scenario.
  2. A 7-day trial account set up for you. We prepare fields and sales stages around the process we discussed, so you spend the week on real work instead of configuration.
  3. You decide. If you want to continue, we agree the plan and the setup scope together and send a written quote. If not, the account closes.

No credit card is required, and nothing is billed automatically when the trial ends. If you need more time, we extend the trial together.

What the product covers, in brief:

  • One shared inbox for WhatsApp, email and SMS, with Instagram direct messages in the same inbox. WhatsApp runs through our Meta-approved app; the WhatsApp Business account, the number and the invoice stay in your name. See WhatsApp CRM.
  • Sales pipeline, quotes with price lists and PDF output, and conversion of a quote to an order.
  • Campaigns with consent management. If you connect your own İYS account through Verimor, SMS and email consents sync with İYS; WhatsApp is outside that sync.
  • ERP and accounting connections built as part of setup over the REST API and webhooks, with scope and cost agreed in writing. See integrations.
  • Customer data hosted in the European Union, in a separate database for each customer.

Plans, what each includes and what is priced separately are on the pricing page. The full overview is on the product page.

Frequently asked questions

Is free CRM software really free?
Often the licence is free, within limits. Free plans cap users, records or features; open-source software is free to download but needs hosting and maintenance; trials end. Count your own time in the cost as well.
Is there a CRM that is free forever?
Several vendors offer permanent free plans, and some open-source CRMs are free to use. Their limits and terms change, so check each vendor's current plan page. Rapitek CRM does not have a permanent free plan; it has a 7-day free trial.
Does Rapitek CRM have a free plan?
No. Rapitek CRM is a paid product. You can try it free for 7 days after a 30-minute intro call, with no credit card required.
Is open-source CRM free?
The software is free, but you pay for hosting, security updates, backups and the skills to set it up and maintain it. It suits teams that have technical people or a partner to do this.
What is the difference between a free trial and a free plan?
A free plan has limited features and no end date. A trial offers more of the product for a limited time, so you can judge whether the paid version fits.
When should a company move from a free CRM to a paid CRM?
When more people need the same history, when messages come in on several channels, when you need automation, reports or connections to accounting or ERP, or when you spend more time working around limits than selling.
Can I move my data from a free CRM to another CRM later?
Usually yes, if the free CRM lets you export your data, typically as CSV files. Check export options before you start, and keep your fields clean and consistent so an import is straightforward.
Which CRM should a very small team start with?
Start with the simplest tool that keeps every customer and every follow-up in one place. A spreadsheet or a free plan can be enough for one or two people. When the team and the channels grow, move to a CRM that fits your process.
