Funeral Services CRM

When steps that follow one another within the same day are handed over verbally, the information given to the family changes from person to person and the process is left untracked at its most sensitive moment.

Every funeral service is a single record: transfer, washing and burial are its stages. In Rapitek CRM, while the burial permit field is empty the file does not move to the next step.

Funeral Services CRM
  • Run the transfer, washing and burial arrangements step by step on a single process
  • Record every conversation with the family on the same record, so it is clear who has taken over the process
  • Track municipal, hospital and institutional contracts together with their scope and service breakdown
  • Send process updates to the family over WhatsApp in measured language
Service FileEvery funeral service is a single record; the transfer, washing and burial steps are its stages, a completed step is recorded onto the same record, and whoever takes over the shift reads from the record where the process stands.
Family Communication HistoryEvery conversation with the family is an activity written onto the service file; who said what and when sits on the record, so the information does not change from person to person.
Corporate ContractA municipality or a hospital is an account record; the contract scope and the agreed price are its fields, every service given is linked to that record, and the monthly breakdown comes out of it.
Burial Permit and Transfer DocumentThe death certificate, the burial permit and the out-of-city transfer permit are separate fields on the service file; a file with a missing document does not move to the next step, and which document is waiting with whom sits there as a task.

In funeral services the work starts not from a calendar but from a phone call, and it is measured in hours: while the transfer vehicle is on its way, the washing slot, the burial permit and the cemetery time are arranged at the same time. These steps depend on one another — when one slips the rest slip too, but the first to notice the slip is the family itself.

Rapitek CRM opens every service as a single file; as the steps are completed they are recorded onto the same record, so whoever takes over the shift learns where the process stands by reading it. On municipal and hospital work the same file turns into the contract's breakdown: at the end of the month, which service was given under which agreement and at which price does not have to be looked up one by one.

Frequently asked questions

Can municipal and institutional contracts be managed?
Yes, you can manage corporate contracts, special pricing and monthly service reports through the CRM.
How is data privacy ensured?
Each customer's CRM data is kept in a separate database allocated to them, and access authorisation is granted on a role basis. Hosting is in the European Union: the database in Finland, the media files in Frankfurt. Under KVKK Article 9 this counts as a transfer abroad; that is why we run the disclosure and explicit consent processes.
Can we stop a file progressing because of a missing document?
The death certificate, the burial permit and the out-of-city transfer permit are separate fields on the service file; the rule defined during setup stops a file with a missing document from moving to the next step, and which document is waiting with whom sits there as a task.
How long does setup take for Funeral Services?
After the discovery call we give you a date, not a range — how many fields, how many stages and how many reports your funeral services process requires becomes clear in that call. We migrate your data ourselves; the scope of the migration and its cost, if any, are worked out in the same call and shared with you in writing.
