Pharmacy CRM

Packs approaching their expiry date behind the shelf are only noticed at stocktaking, and provision transactions eat up time separately for every customer.

The pack finish date is a field on the customer record; when the date approaches a reminder task is opened. Packs close to expiry gather in one list by the expiry date field.

Pharmacy CRM
  • Keep the pack finish date for chronic medication on the customer record; let those approaching their date drop into a list and tie the reminder to that list with a rule
  • Identify regular customers with points and special discounts and follow their return
  • See products approaching their expiry date, running low on stock and selling the most on the same screen
  • Make the fields required for provision mandatory on the sale record and take SGK and insurance statements from the report
  • Let the whole pharmacy team reply from a single WhatsApp number, so correspondence does not stay on personal phones
Customer Loyalty ProgrammePoints and discounts are fields on the customer card; a regular customer appears in a list filtered on their purchase dates.
Medicine Reminder SystemThe pack finish date is a field on the customer record; when the date approaches a reminder task is opened and the message is sent from the same card.
Packs Close to ExpiryThe expiry date is a field on the product record; packs with fewer than the set number of days left gather in a single list, and the decision to return them or to push them is handled from the card on that list.
SGK and Insurance ProcessesThe fields required for provision are made mandatory on the sale record, and the statements are taken from reports. The SGK and insurance connection is built specifically for each project; there is no out-of-the-box module.
Medicine Supply RequestA request opened for a pack that is not on the shelf is a request attached to the customer record; which warehouse it was requested from, the expected date and the task of letting the customer know sit on that request, and the correspondence in the inbox is attached to the same request.

In a pharmacy the relationship starts at the counter and ends there: the pack is handed over, the person leaves, and when they will come again is unknown. Yet when someone on chronic medication will run out is clear from the number of doses in the pack. If nobody makes contact as that day approaches, the customer calls in at the first pharmacy on their way; the relationship is lost not to a price difference but to not being remembered.

In Rapitek CRM the customer card is kept together with the buying rhythm, the time left until the medicine runs out is read from the record itself, and the reminder does not depend on someone remembering. The points that build up on the same card keep a regular customer recognisable even when the person behind the counter changes.

Frequently asked questions

Does the system bring a customer whose chronic medication has run out in front of me by itself?
The pack finish date is a field on the customer record; when the date approaches a reminder task is opened and the message is sent from the same card. How many days in advance it warns is defined during setup.
Can we follow a customer who asks for a pack that is not on the shelf?
The request is a separate record attached to the customer record; which warehouse it was requested from, the expected date and the task of letting the customer know sit on that request, and the correspondence in the inbox is attached to the same request.
How long does setup take for a Pharmacy?
After the discovery call we give you a date, not a range — how many fields, how many stages and how many reports your pharmacy process requires becomes clear in that call. We migrate your data; the scope of the migration and its cost, if any, are worked out in the same call and shared in writing.
Does it integrate with my existing systems for a Pharmacy?
In a pharmacy the fields required for provision are made mandatory on the sale record and the statements are taken from reports. If you use Logo, Netsis, Mikro or SAP, your CRM talks to it — we build the connection ourselves. There is no out-of-the-box module; the same applies to SGK, insurance and pharmacy automation. Because access and field structure on the other side differ from one installation to the next, a single button does not work the same way everywhere. The connection is built specifically for each project over our REST API covering 183 business objects, OAuth2, webhooks and import/export. We work out its scope and its cost at the discovery call and share them in writing. When no connection is built, the provision fields are entered on the sale record by hand and the statements are taken from the report.
Can more than one person on the pharmacy team use the same WhatsApp number?
On the pharmacy side customer correspondence does not stay on personal phones; the whole pharmacy team replies from a single number. Yes. We connect your own Meta WhatsApp Business account to the CRM; your team replies from a single business number and all messages appear in the team inbox. Conversations are assigned according to the rule you define. Managers can monitor conversations and response times. Even if staff change, the correspondence history stays in the CRM. Meta invoices you directly — we do not sell message bundles or credits.
