Wealth Management CRM

In wealth management every recommendation given is a record that can later be called to account; when the meeting note sits in the advisor's diary, the risk profile in another file and the signed document in the archive, that chain cannot be assembled at the moment of an audit.

Risk profile and investment preference are fields on the customer card; every recommendation stays on the record with the profile it rests on, and the previous state stays in the history.

Wealth Management CRM
  • Keep every client's risk profile, investment preferences and portfolio history in a single file
  • Record the meetings, the recommendations presented and the client's decision stages in order
  • Run the documents and processes tied to regulatory requirements through the client record
  • Define a separate service level and priority support for high-value clients
  • Handle the sharing of sensitive financial information through the record and keep all communication on file
Client Portfolio TrackingThe risk profile and the investment preference are fields on the client card; the portfolio history accumulates under the same card.
Advisory Process ManagementThe meeting, the recommendation and the decision leave a trace in order under the same record; which answer was given to which recommendation can be read afterwards.
Mandatory Document TrackingMandatory documents are kept as fields on the client record; clients with missing documents stay on a list, and the completion task is opened from there.
VIP Client ProgrammeThe service level is a field; priority and the assignment rules defined during setup are linked to that field, and response time is reported from the record dates.
Data SeparationAccess is limited by role-based permissions, your CRM data sits in a separate database that belongs to you, and transfer is done with TLS 1.3; correspondence stays on the record rather than in a personal channel.

A portfolio advisor's day is spent in meetings, and the output of those meetings is spoken: the client's risk tolerance has changed, they want to exit a product, their child's education plan has brought the target maturity forward. As long as these do not turn into a written record, the next proposal is prepared according to the old profile, and the difference only comes to light when the client objects.

In Rapitek CRM the meeting sits on the same record as the client's risk profile; when the profile is updated, its previous state stays in the history, and which profile each recommendation rests on can be read afterwards. As the number of advisors grows, each one's portfolio, meeting calendar and performance are followed from a single dashboard. Your CRM data is kept in a separate database that belongs to you; our servers are in the European Union (the database in Helsinki, uploaded files in Frankfurt).

Frequently asked questions

Do you have a ready-made module for SPK regulations?
There is no out-of-the-box module; what there is, is configuration — and we do that ourselves. Know-your-customer information, the risk profile and mandatory documents are defined as fields on the record; which field will be mandatory and which report will be produced are decided together during setup. The assessment of regulatory compliance remains with your institution's compliance unit.
Is client data safe?
Your CRM data is kept in a separate database that belongs to you; TLS 1.3 is used in transit, passwords and two-factor authentication secrets are encrypted at rest, and access is limited by role-based permissions. Hosting is in the European Union: the database in Helsinki, media files in Frankfurt. Under KVKK Article 9 this counts as a transfer abroad; that is why we run disclosure and explicit consent processes. A small number of sub-processors operate outside the EU; we list each of them, and the place where each processes data, one by one in our privacy policy.
Can I manage more than one advisor?
Yes, you can follow each advisor's client portfolio, performance and meeting calendar from a single dashboard.
How long does setup take for wealth management?
After the discovery call we give you a date, not a range — how many fields, how many stages and how many reports your wealth management process requires becomes clear in that call. We migrate your data ourselves; the scope of the migration, and its cost if there is one, are worked out in the same call and shared in writing.
