Dental Implant Clinic CRM

Implant treatment spreads over months with healing time in between; if the patient falls out of follow-up in the gaps between stages, the treatment is left half-finished and the clinic never sees that revenue.

Each stage of implant treatment — extraction, placement, temporary and permanent prosthesis — is a separate appointment on the plan; instalment dates and insurance approval are fields on the card.

Dental Implant Clinic CRM
  • Schedule the extraction, implant placement, temporary and permanent prosthesis stages separately according to healing time
  • Upload panoramic X-ray, DICOM and 3D model files to the patient card and open them chairside
  • Run the consultation, travel, accommodation and check-up steps of a patient coming from abroad on a single roadmap
  • Track treatment instalments, private insurance payments and SGK approvals with their due dates over the records entered in the CRM
  • Open the 6-month and annual check-ups as tasks tied to the treatment end date; set the reminder as a rule together with the panoramic X-ray renewal
Multi-Stage Treatment PlanAll-on-4, All-on-6, sinus lifting and bone augmentation are each treatment plan records; every stage sits on the plan with its own appointment, X-ray and approval step, and a stage that is not completed stays open in the list.
Panoramic X-Ray and Model ArchiveX-ray images and 3D model files (DICOM, JPG) are uploaded to the patient card as files; the dentist opens each file from the same record. There is no out-of-the-box module for the imaging device — files are added manually or by bulk upload.
Overseas Patient RoadmapConsultation, travel plan, treatment, accommodation and check-up steps are tasks linked to the patient record; the patient's language and time zone are fields on the record, and reminders are produced according to those fields.
Instalment and Insurance TrackingTreatment instalments, private insurance payments and SGK approval are lines linked to the patient record; a line that falls due drops into a list and the reminder task is opened from that list. There is no out-of-the-box module for SGK MEDULA and insurance companies — this information is entered by import file or by hand.
6-Month and Annual Check-UpThe treatment end date is a field; the 6-month and annual check-up appointments and the panoramic X-ray renewal task are tied to that date.

In implant work the treatment and the calendar do not move at the same speed. After placement you wait for it to fuse, months pass in between, and in that gap not a single appointment is left tying the patient to the clinic. For a patient coming from abroad the gap depends on a plane ticket as well: because the consultation, the accommodation and the check-up are arranged separately, when one of them slips the patient goes home without the permanent prosthesis fitted.

Rapitek CRM sets the treatment up as a single plan; because every stage is tied to the plan with its own appointment, X-ray and approval flow, the healing interval becomes not a wait but a step the system tracks. The payment side is tied to the same plan: which instalment is to be collected at which stage, and where the insurance approval is waiting, are read from the patient card, and the ones falling due drop into the reminder list.

Frequently asked questions

How are long treatment processes such as All-on-4 or All-on-6 managed?
Rapitek CRM supports multi-stage treatment plans. Every stage (extraction, implant placement, temporary prosthesis, permanent prosthesis) is a separate appointment tied to the plan; the next appointment is suggested according to the patient's healing time, and a stage that is not completed stays open in the list.
What features are there for implant patients coming from abroad?
Along with multilingual lead management (Turkish, English, German, Russian), the airport transfer, accommodation, interpreter coordination and consultation video call steps are opened as a 'travel package' task list linked to the patient record; the clinic team carries out the steps. There is no out-of-the-box module for airlines, hotels or transfer providers — booking details are written onto the record by hand.
Is there SGK and private insurance integration?
We build the connection to SGK MEDULA or to private insurance companies; there is no out-of-the-box module, and we have no product called a "compatible module" either. The connection is built for each project over our REST API covering 183 business objects, OAuth2, webhooks and import/export; its scope and cost are shared in writing in the discovery call. As long as the connection is not built, authorisation and approval details are entered by import file or by hand; the approval status, the amount paid and the patient's contribution are still kept in the CRM, and reminders for instalments falling due are produced from there.
How do post-implant check-up reminders work?
The date of the implant placement is a field; the 1st week, 1st month, 3rd month, 6th month and annual check-up tasks are opened on the card tied to that date, and the ones approaching their date drop into a list. You set a rule at setup for how many days in advance and through which channel the patient is reminded. At each check-up the patient note, the X-ray and the dentist's comment are written onto the same record.
