Jewelry Store CRM

At a jewelry store the earnings come not from a one-off sale but from the same family's shopping spread over years; but because when and what for the customer will come is written in nobody's calendar, that return is left to chance.

Every piece is tied to one record by its certificate number; which supplier it came from and which customer it went to come out of one search. Special dates are fields on the customer card.

Jewelry Store CRM

What we set up, and how

  • Keep the customer's birthday, wedding anniversary and their family's special days in a date field; let the approaching ones drop into a list, and tie the campaign contact 7-14 days ahead to that list with a rule
  • Match every product in stock together with its certificate number, gram weight, carat and stone properties
  • Write the customer's style, carat, stone and brand preference onto the profile; when a suitable product arrives, tie the notification with a rule to the list filtered on those fields
  • Stage the custom design order from draft to delivery and track the time with the designer and craftsman assignment
  • Enter the current gold gram price into the rate record and compare profit/loss against past sales' own price field
Important Date ReminderThe customer's birthday, wedding anniversary and the special days of their spouse and children are date fields on the customer record; the ones with a date approaching drop into a list, and the campaign task is opened from that list.
Certified Stock ManagementEvery product is a unique record with its certificate number; the gram weight, the carat (24K/22K/18K) and the stone's carat and cut are fields on that record, and the stock-certificate match is read on a single screen.
Customer Preference ProfileStyle, carat, stone and brand preference are fields on the customer record; when a new product arrives, a list filtered on those fields is drawn up and the notification is tied to that list.
Model and Casting StagesA custom design order carries the draft, wax model, casting, stone setting and delivery stages in its own field; the designer and craftsman assignment are fields on the record, and how many jobs are waiting at which stage is read from the list.
Loyalty and Referral ProgrammeFamily connections (mother, daughter, daughter-in-law) are kept as relationships between customer records; because the spending total accumulates in a field, the special card and the referral bonus are given by filtering on that field.
Gold Gram Price FieldThe current gram price is a rate record that you update; every sale stores that day's gram price in its own field, and the profit/loss comparison is read across those two fields.

A jewelry store's stock carries identity, not quantity: two rings may look the same, yet their certificate number, gram weight, carat and stone quality differ. When a warranty claim comes in or a piece comes back, the only question asked is "which one exactly was this"; when the answer requires matching the certificate file to the sales slip by hand, the job takes hours.

Rapitek CRM ties every piece to a single record by its certificate number; which supplier it came from and which customer it went to come out of one search. On the customer side, the connections of the same family are kept in a single tree; a piece bought by one member turns into a suggestion on the profiles of the others, and the referral programme for high-volume customers runs over that network.

Frequently asked questions

Does it provide traceability for every certified product?
Yes. Every certificate number is found with a single search: which supplier it was bought from, which customer it was sold to, and the carat/stone/gram weight details. Critical for warranty claims.
Can I do stock valuation against the live gold price?
The current gram price sits in the CRM in a rate record that you update; there is no out-of-the-box price feed module. We set up the feeding of that field from your own price source: the connection is built specific to the project over REST API, OAuth2, webhooks and import/export, and its scope is shared in writing in the discovery call. Stock valuation and the historical profit/loss comparison are done over that field.
How do we make contact without missing the customer's special day?
Birthdays, wedding anniversaries and the family's special days are date fields on the customer record; customers with an approaching date drop into a list based on those fields and the campaign task is opened from that list. During setup you tie to a rule how many days ahead (7 or 14) and through which channel the reminder goes out; the contact made is written under the same card.
How do you model family connections?
Customer-to-customer relationships (spouse, mother-daughter, daughter-in-law and mother-in-law) are managed as a tree. One family member's purchase turns into suggestions on the others' profiles.
What about KVKK and the confidentiality of certificate numbers?
Every customer's data is held in a separate database of your own, hosted in the European Union (Finland); it is encrypted in transit with current TLS, and critical credentials such as passwords and 2FA are stored encrypted at rest. Because the hosting is outside Turkey, this counts as a transfer abroad under KVKK art. 9; that is why we run disclosure and explicit consent processes. Certificate numbers are protected with role-based access - only authorised employees see them.
