Automotive CRM

When the sale is at the dealership, the service record is somewhere else and the customer correspondence is on the advisor's personal phone, the history of the same vehicle is fragmented; and the customer whose service is due appears on nobody's list.

The sale, the handover, the servicing and the complaint for the same vehicle are written onto one vehicle record; because the service interval is calculated from it, no reminder list is made by hand.

Automotive CRM
  • Compare the sales and service performance of your dealer network by dealership and against regional targets
  • Take service appointments online; drop the vehicles whose service interval is due onto a list and tie the reminder going out to that list to a rule
  • Open the entire history of every vehicle, from the moment of sale to the last service record, on a single screen
  • Run the points system and campaigns by customer segment
  • Gather the WhatsApp messages arriving at a single business number in the team inbox and assign conversations by the rule you define
Dealer NetworkEvery dealership is a separate user group; the regional target and the sales achieved sit in that group's fields, and a dealership can be given permissions so that it sees only its own customer records.
Service AppointmentAn appointment is an activity attached to the vehicle record; the date, the service type and the owner sit in fields, and past appointments are listed under the same vehicle.
Vehicle Life CycleThe vehicle is its own record; the chassis number, the sale date, the service interval and the service history are fields on that record, and which dealership it came from is read from the same record.
Loyalty PointsPoints are a field on the customer record; the campaign target audience is drawn out by filtering on that field and the segment field.
Test Drive RecordA test drive request is an appointment record attached to the model of interest; the vehicle, the time and the advisor sit in fields, and the evaluation survey sent after the drive is attached to the same record.

In automotive the customer buys once and then comes in for service for years afterwards. When these two contacts are kept in separate places, who owns the vehicle whose periodic service is due, which dealership it came from and what was last done to it never come together on anyone's screen. The result is that the place where the vehicle was sold gets no signal at all with which to win back its own customer.

Rapitek CRM keeps every vehicle as a single record; the sale, the handover, the service and the complaint are written onto the same history. Because the service interval is calculated from that record, the reminder list is not drawn up by hand; you tie when the reminder goes out and over which channel to a rule during setup, and the channel is read from the customer's preference field. When an advisor leaves, the correspondence does not go with their personal phone either; the conversation history and who promised what stay with the company, and the manager sees response times from the same place.

Frequently asked questions

How can I manage my dealer network?
You can define each of your dealerships as a separate user group, set regional targets and compare performance. Dealerships can be given permissions so that they see only their own customer records.
Are service reminders automatic?
The service interval and the last service date are fields on the vehicle record; vehicles whose interval is due are filtered by those fields and drop onto a list. You tie the reminder going out to that list as an SMS, an email or a WhatsApp message to a rule during setup; which channel is used is read from the customer's preference field, and the send leaves a trace on the vehicle record.
Will it integrate with my existing DMS?
We build the connection to DMS and ERP software ourselves; there is no out-of-the-box module. The connection is built specifically for the project by our professional services team over our REST API covering 183 business objects, OAuth2, webhooks and import/export; the scope and the cost are shared in writing in the discovery call. As long as no connection is built, vehicle, customer and service data are entered with an import file or by hand; the chassis number, the service interval and the service history are still kept on the vehicle record and the service reminders are produced from there.
Can more than one person use the same WhatsApp number for automotive?
Yes. We connect your own Meta WhatsApp Business account to the CRM; your team replies from a single business number and all messages appear in the team inbox. Conversations are assigned according to the rule you define. Managers can monitor conversations and response times. Even if staff change, the message history stays in the CRM. The Meta invoice is issued directly to you — we do not sell message packages or credits.
