A call is a record tied to a contact, account or lead — direction, duration and outcome code are its fields. In Rapitek CRM the shift report comes out of these records; no spreadsheets are merged.

WhatsApp Team InboxThe business's own Meta WhatsApp Business account is connected to the inbox; the conversation is recorded on the customer card, and canned responses and keyword rules run from the same record. Even if a member of staff leaves, the history stays with the business.
Queues and Assignment RulesAn incoming record drops into a queue; who it goes to is defined in the assignment rule (customer type, language, subject). The rule is built around your flow during setup.
Shifts and ReportingThe shift and working-hours calendar is defined; the number of calls, the average duration and the resolution rate come out of a shift-broken-down report on these records, and no spreadsheets are merged at the end of the day.

In a call centre, cost is measured in seconds: the fifteen seconds an agent spends working out the answer to "who am I speaking to" turns into hours across thousands of calls a day. The same disconnect exists in the other direction; when the call list is handed out by hand, one customer is called twice and another is never called back.

Rapitek CRM does not replace your phone system; it takes your PBX vendor's adapter into the right-hand panel and ties the conversation to the customer record. Once the adapter is installed, the card opens from the incoming number, the call is written onto the record when the conversation ends, and dialling happens by clicking on the phone field. Because the call note, the case opened and the WhatsApp conversation all sit on the same card, the history is ready at the second contact, and the shift report is produced without merging spreadsheets.

Frequently asked questions

Which telephone systems does it work with?
Rapitek CRM offers a CTI adapter panel in the pattern of Salesforce Open CTI: your PBX vendor's adapter is embedded in the right-hand panel of the CRM and works over a documented bridge. We build the connection to particular PBX systems; there is no out-of-the-box module. The adapter is written to this protocol either by the PBX vendor or specifically for the project; its scope and cost are worked out in the discovery meeting and shared in writing.
Does the customer card open automatically on an incoming call?
Once the adapter is installed, yes. The adapter sends the incoming number to the bridge; on a single match it goes straight to that record, on more than one match a selection window opens, and when there is no match a new lead record filled in with the number can be opened. Without the adapter installed, this flow does not work.
Can we make calls from the browser?
Rapitek does not make a softphone. Your PBX vendor's softphone adapter is embedded in the right-hand panel of the CRM; click-to-dial on the phone fields depends on that adapter and becomes active when the adapter enables it.
How do we run an outbound calling campaign?
A call list can be defined as a stepped sequence: the target list, the steps, the number of attempts and the outcome code (no answer, appointment, sale, refusal) are defined during setup. The agent sees their turn from the list, dials by clicking on the phone field, and closes every call as a Call Record. We do not offer an automatic dialer; if you have such a system on the PBX side, it is connected over the adapter.
Can I keep KVKK compliant call recordings?
The voice recording is taken on the PBX side — we do not offer call recording out of the box. The adapter can pass the recording link to the call record. On the CRM side, the call itself and the customer's consent status are kept as fields, access is limited by role-based permissions, and your retention period policy can be defined. Data is hosted in the EU (Finland); for transfer abroad, explicit consent is taken under Article 9 of the KVKK.
