Paper CRM

In paper a quote is given not to a product but to a specification: its grade, its weight, its size, reel or sheet. Because the price moves along with the raw material and the exchange rate, a quote given yesterday may not hold today, but the customer still treats it as valid.

A quote line carries fields for grade, weight, size and reel or sheet; the validity date is a field on the quote, and those that have expired gather in a separate list.

Paper CRM
  • Prepare the quote with grade, weight, size and reel-or-sheet lines, and carry the same lines from a past order into a new quote
  • Keep the quote validity date in a field, separate expired quotes out of the list and reprice them
  • See from the record which customer a batch in stock has been promised to, and do not commit the same batch twice
  • Read the repeat buying interval from the customer's history and open a follow-up task, attaching shipment and delivery note details to the order
Specification-Based QuoteA quote line is more than a product; the grade, the weight, the size and whether it is reel or sheet sit in the line's fields.
Price ValidityThe validity date is a field on the quote; quotes past their date gather in a separate list, and the repricing task is opened from there.
Batch AllocationA stock batch is a record; which order it is attached to is seen from that record, and the unattached quantity stays free.
Buying RhythmThe customer's order history sits on their own record; when the interval lengthens, a follow-up task drops into the list and is assigned to a representative.

In paper sales two things move at once: the specification the customer wants and the cost of that specification. When a printer says "the same paper", they mean the weight and the size from last time; when that detail stays inside an old quote e-mail, the wrong size is cut on the new order and the cost of the return stays with the seller. At the same time a batch in stock may have been promised to two different customers; both come to light on the loading day.

Rapitek CRM keeps the quote together with its specification lines, and because the validity date sits in a field on the quote, expired quotes separate out on the list. Since every customer's past orders build up on their own record, "last time" is not a memory but a line. The rhythm of repeat buying is read from that same history; a follow-up task is opened for a customer who buys at a set interval and the representative calls before the stock runs out.

The scope of the plans and the separately priced items are written on the pricing page.

Frequently asked questions

The price of paper changes often; how do we manage the validity of a quote we have given?
The validity date is a field on the quote; expired quotes gather in a separate list and a repricing task is opened, and the new price that goes to the customer is followed as a revision of the same record.
When the customer says "the same paper as last time", how do we reach the right specification?
Every order sits on the customer's record with its grade, weight, size and reel-or-sheet details; the past order is opened and a new quote is created with the same lines, so cutting the wrong size is prevented at source.
How do we stop the same stock batch being promised to two customers?
A stock batch is a record; which order it is attached to is seen from that record, and the unattached quantity stays free. That way the commitment is visible when the promise is made, not on the loading day.
Which is the best CRM software for paper?
When choosing a CRM for the paper sector you should pay attention to sector workflows, integration capabilities, customisation options and the quality of support. You do not set up Rapitek CRM, we do: we configure the fields, the stages and the reports around your paper process, we migrate your data and we train your team in Turkish. Before building our own platform, our team completed more than 200 enterprise CRM projects in its Salesforce years; we do the setup with that experience.
How much does a paper CRM system cost?
In paper, because the follow-up task for a customer whose buying interval has lengthened is assigned to a representative, representatives are defined individually in the system. We keep our current plan prices in one place and publish them openly on our pricing page; we do not put figures on this page, so that you never read a different price in two places. The price is determined by the number of users and the plan chosen. The scope of setup, data migration and training is not the same in every project; the scope and the setup fee, if any, are worked out together at the discovery call and shared in writing. Rapi artificial intelligence credit and ERP integration are separately priced items.
How are CRM integrations done in the paper sector?
If you use Logo, Netsis, Mikro or SAP, your CRM talks to it — we build the connection ourselves. There is no out-of-the-box module: because access and field structure on the ERP side differ from one installation to the next, a single button does not work the same way everywhere. The connection is built specifically for each project over our REST API covering 183 business objects, OAuth2, webhooks and import/export. We work out its scope and its cost at the discovery call and share them in writing.
How does the move to a CRM system work in the paper sector?
We start with a discovery call: together we work out your paper process and which fields and which stages are needed. After the call we give you a date, not a range. We migrate your data and we train your team in Turkish. There is no call centre on our support line. Your question is answered by the team that builds and develops the product — this is a choice, not a matter of capacity.
Can mobile CRM be used for paper?
Yes. Field and branch teams can update the customer card, the note and the follow-up task from their phone. The app is live on both the App Store and Google Play. The web interface also works on tablets and phones. The app does not work offline; if the connection drops while you are filling in a form, what you have written is kept on the device for 24 hours.
