Pilates CRM

In pilates the quota is set not by a head count but by the number of machines in the room; with six reformers a seventh booking cannot be taken, and when one machine goes in for maintenance that day's schedule has to be rebuilt. Private, duo and group classes differ in both price and capacity; and which movement a member cannot do stays in the memory of the first instructor.

In equipment classes the quota is not a head count but the number of reformers; capacity sits in the class type field, and when a machine goes for maintenance that day's capacity drops.

Pilates CRM
  • Set up private, duo and group classes as separate class types; define capacity and price separately for each type
  • Tie the quota in equipment classes to the number of reformers; when a machine goes in for maintenance, reduce capacity and move the overflow booking to the waiting list
  • Define as a rule whether a late cancellation costs a class credit, and notify the member on the waiting list when a place opens up
  • Keep the restriction note and the programme end date of a member referred by a physiotherapist on the record, so every instructor who takes the class sees the same note
Private, Duo and Group Class TypesThe class type is a field on the class record; capacity is defined separately for each type, and the price sits on its own line in the price list for each type.
Quota per MachineIn a mat class capacity is a head count; in an equipment class it is the number of reformers. When a machine goes in for maintenance that day's capacity is reduced and the overflow booking moves to the waiting list.
Restriction Note and Physiotherapy ReferralInjury, pregnancy and doctor's restrictions are fields on the member record; for a member who comes with a post-injury programme, the referring person and the end of the programme sit on the same card.
Instructor Certification LevelThe certification level is a field on the instructor record; which class types the instructor can teach is read from that field, and an instructor whose level is not sufficient is not assigned to that class in the calendar.

In a pilates studio a class is not one single type. A private class has a capacity of one person and a price of its own; a duo class takes two; in a group class the quota is set not by the number of people but by the number of machines in the room, because a place depends on a reformer rather than on a mat. In a mat class a seventh person can squeeze in; in an equipment class they cannot. On top of this there is the member's body: a lumbar hernia, shoulder surgery, a pregnancy period, a post-injury programme that arrives on a physiotherapist's referral. This information is taken verbally at the first meeting; when the instructor goes on leave, the person standing in can have that same member perform a movement that is off limits for them.

In Rapitek CRM the class type is a field: capacity is defined separately for private, duo and group classes, and the price sits on its own line in the price list for each type. In an equipment class capacity is tied to the number of reformers; when a machine goes in for maintenance that day's capacity is reduced, the overflow booking moves to the waiting list, and when a cancellation comes in the next member in line is notified. The member's restriction note is a field on the member record; because the class is attached to the member, whoever takes the class that day sees the same note on their screen, and for a member who arrives on a physiotherapist's referral the referring person and the programme end date sit on the same card. The instructor's certification level is a field too, and that field determines which class types they can teach. Whether a cancellation costs the member a class credit is defined as a rule that looks at the time remaining until the class; the decision is left to the record, not to the person at the desk.

What the plans cover and which items are priced separately are set out on the pricing page.

Frequently asked questions

Is a member's injury information lost when the instructor changes?
It is not lost. The restriction note is a field on the member record, not an entry in an instructor's notebook; because the class is attached to the member, whoever takes the class that day sees the same note. When the note is updated, every subsequent class shows its current version.
Can the system decide whether a last-minute cancellation costs a class credit?
Yes. A rule is defined that looks at how long before the class time the cancellation was made; if the rule says the credit is forfeited, the deduction is written to the record, otherwise the credit is returned. At the same time the first member on the waiting list is notified that a place has opened up.
Can we prevent an instructor without the required certification level from being assigned to a class?
Yes. The certification level is a field on the instructor record, and which class types the instructor can teach is read from that field. During setup we define that an instructor whose level is not sufficient is not assigned to that class type when the calendar is filled in; the decision is then not left to the memory of whoever is on duty.
Which is the best CRM software for pilates?
When choosing a CRM for the pilates sector you should look at sector-specific workflows, integration capabilities, customisation options and the quality of support. You do not set Rapitek CRM up yourself, we set it up: we configure the fields, the stages and the reports around your pilates studio process, we migrate your data, and we train your team in Turkish. Before building our own platform our team completed more than 200 enterprise CRM projects in its Salesforce years; we carry out the setup with that experience.
How much does a Pilates CRM system cost?
In pilates, which instructor can teach which class is determined by the certification level field, so instructors are defined separately in the system. We keep current plan prices in a single place and publish them openly on our pricing page; we do not put figures on this page, so that you never read two different prices in two places. The price is set by the number of users and the plan chosen. The scope of setup, data migration and training is not the same in every project; the scope and the setup fee, if any, are worked out together in the discovery call and shared in writing. The Rapi artificial intelligence credit and the ERP integration are separately priced items.
How are CRM integrations done in the pilates sector?
If you use Logo, Netsis, Mikro or SAP, your CRM talks to it — we build the connection. There is no out-of-the-box module: because the access rights and the field structure on the ERP side change from one installation to the next, a single button does not work the same way everywhere. The connection is built specifically for the project over our REST API covering 183 business objects, OAuth2, webhooks and import/export. We work out the scope and the fee in the discovery call and share them in writing.
How does the move to a CRM system work in the pilates sector?
We start with a discovery call: together we work out your pilates studio process and which fields and which stages are needed. After the call we give you a date, not a range. We migrate your data, and we train your team in Turkish. There is no call centre on our support line. Your question is answered by the team that built and develops the product — this is a choice, not a matter of capacity.
Can a mobile CRM be used for pilates?
Yes. Field and branch teams can update the customer card, the note and the follow-up task from their phones. The app is live on both the App Store and Google Play. The web interface works on tablets and phones as well. The app does not work offline; if the connection drops while you are filling in a form, what you have written is kept on the device for 24 hours.
