Patent Attorney Office CRM

In patent and trademark attorney work the whole job rests on dates: the opposition period, the renewal date, the annual fee payment. When a date is missed what appears is not a delay but the loss of the client's right, and there is no way back from that.

Renewal, opposition and annual fee dates are separate fields on the file; the task tied to each date is opened for the person responsible before it expires and stays listed until closed.

Patent Attorney Office CRM
  • Keep every trademark and patent file under the client account with its application number, country and class
  • Enter the renewal, opposition and annual fee dates as fields; let a reminder task be opened before the deadline
  • Build up the notification sent to the client and the instruction received under the file, and see files waiting for instructions on a separate list
  • Show the official fee and the attorney fee as separate items on the quote and follow collection file by file
File RecordA trademark or patent application is a record with fields for the number, the country and the class, attached to the client account. The portfolio is the list of files under that account.
Deadline Fields and RemindersThe renewal, opposition and annual fee dates are separate fields on the file; the task attached to each field is opened before the date, assigned to the person responsible, and stays on the list until it is closed.
Notification and Instruction HistoryInformation sent to the client and the answer that comes back are recorded as activities under the file; files waiting for instructions are a filter on that status.
Official Fee and Attorney FeeThe official fee and the service charge are separate line items on the quote; the collection status file by file is read from those lines.

In an attorney's office hundreds of files are open at the same time and each file has its own calendar. When the deadlines are scattered across a diary, a spreadsheet and a person's memory, the system becomes dependent on one person's attention; when that person goes on leave or leaves the firm, nobody can work out from scratch which file is waiting for what and on which date. What is more, some of those dates wait for instructions from the client: the notification has reached the office and has been passed on to the client, but because no answer comes back the file quietly approaches its deadline.

In Rapitek CRM a file is a record with fields for the application number, the country and the dates. The renewal, opposition and fee dates sit in separate fields and each one has its own reminder task attached; the task stays on the list until it is closed. What was notified to the client and when builds up under the same record, and files waiting for instructions appear as a separate list. When the person looking after a file changes, what is handed over is not a folder but the record itself, with its history.

The scope of the plans and the separately priced items are written on the pricing page.

Frequently asked questions

What does the system do so that renewal and opposition deadlines are not missed?
Every deadline is a separate date field on the file record, and the reminder task attached to the field is assigned to the person responsible before the date. It stays on the list as long as it is not closed; so the follow-up is attached to the record itself, not to a person's diary.
Do registry notifications land on the file by themselves?
We build the connection to the registry side ourselves; there is no out-of-the-box module. Notifications are entered on the file by hand, or carried by a flow built specifically for each project over import and a REST API. Once the date field has been entered, the system runs the reminder chain.
Can I see files waiting for instructions from the client separately?
Yes. The notification sent to the client and the answer received are recorded as activities under the file; the file's status is also a field. Files waiting for instructions are opened as a separate list by filtering on that field, and files approaching their deadline are sorted by date on that list.
Which is the best CRM software for patent work?
When choosing a CRM for the patent sector you should pay attention to sector workflows, integration capabilities, customisation options and the quality of support. You do not set up Rapitek CRM, we do: we configure the fields, the stages and the reports around your trademark and patent attorney process, we migrate your data and we train your team in Turkish. Before building our own platform, our team completed more than 200 enterprise CRM projects in its Salesforce years; we do the setup with that experience.
How much does a patent CRM system cost?
In patent work, because the task tied to each deadline field is assigned to a person responsible, the attorneys looking after the files are defined individually in the system. We keep our current plan prices in one place and publish them openly on our pricing page; we do not put figures on this page, so that you never read a different price in two places. The price is determined by the number of users and the plan chosen. The scope of setup, data migration and training is not the same in every project; the scope and the setup fee, if any, are worked out together at the discovery call and shared in writing. Rapi artificial intelligence credit and ERP integration are separately priced items.
How are CRM integrations done in the patent sector?
If you use Logo, Netsis, Mikro or SAP, your CRM talks to it — we build the connection ourselves. There is no out-of-the-box module: because access and field structure on the ERP side differ from one installation to the next, a single button does not work the same way everywhere. The connection is built specifically for each project over our REST API covering 183 business objects, OAuth2, webhooks and import/export. We work out its scope and its cost at the discovery call and share them in writing.
How does the move to a CRM system work in the patent sector?
We start with a discovery call: together we work out your trademark and patent attorney process and which fields and which stages are needed. After the call we give you a date, not a range. We migrate your data and we train your team in Turkish. There is no call centre on our support line. Your question is answered by the team that builds and develops the product — this is a choice, not a matter of capacity.
Can mobile CRM be used for patent work?
Yes. Field and branch teams can update the customer card, the note and the follow-up task from their phone. The app is live on both the App Store and Google Play. The web interface also works on tablets and phones. The app does not work offline; if the connection drops while you are filling in a form, what you have written is kept on the device for 24 hours.
